Codmon Co., Ltd. (Headquarters: Minato-ku, Tokyo, Representative Director: Yoshinori Koike) will use the company’s ICT service for childcare and educational facilities, “CoDMON” (hereinafter “Kodomon”), at 15 public nursery schools in Tsukuba City by 2024. We are pleased to inform you that full-scale operation will begin in May 2020.

By introducing Kodomon, Tsukuba City aims to improve the quality of childcare by reducing the workload of staff by digitizing contact books and letters that are previously exchanged on paper, and by improving convenience for parents. It means.

[Kodomon introduction function in Tsukuba City]

– Notification of late arrival, absence, pick-up, and extension

You can apply for notification from the parent app if your child is late, absent, picked up, extended, etc. during school hours. Parents can instantly report to the nursery school without worrying about time, and the nursery school can receive the report in real time on a tablet or other device without having to make phone calls. This is a highly convenient function for both parents and nursery schools.

●Questionnaire

You can send surveys such as preliminary hearings regarding attendance confirmation etc. to the parent app. In addition to setting distribution destinations by class and year, you can also freely reserve distribution dates and times.

●Entrance and exit management

By stamping the child’s arrival and departure times by holding up a QR code, it is possible to automate tasks such as creating attendance records and calculating extended childcare fees. Parents can share their child’s arrival and drop-off status with their families using a smartphone app.

●Children’s ledger

You can centrally manage all information for each child, including the child’s name, class, date of birth, health information (family doctor, allergies), medical checkup history, childcare fee settings, and family information (emergency contact information, email address). Yes, it will be easier to share information for each child within the kindergarten.

●Contact book

We will digitize the contact book to communicate information about the children’s progress. Parents use a smartphone app to report on what is going on at home in a multiple-choice format, so they can input information with minimal effort. At the nursery school, you can use photos to provide feedback on what is going on at the nursery school.

●Reference room (planned)

You can publish facility materials (class newsletters, application forms, etc.) on the parent app by setting categories and specifying classes. Parents can narrow down the materials they need using keyword searches on the app, making it easy to search even when the number of materials increases.

●Teaching plan/diary creation (planned)

You can upload and use the forms currently used at the nursery on Kodomon. By linking data such as diaries, developmental progress records, monthly plans, etc., it is possible to create consistent instruction plans. By making use of digital technology for better browsing, utilizing template functions, voice input, etc., we can expect to reduce creation time and improve the quality of lesson plans and childcare.

●School lunch management (planned)

With a work flow that could not be achieved with a single school lunch management software, such as a function for creating menus that is linked to child ledgers, attendance information, etc., and distribution of menu sheets using a parent app, it is possible to reduce the work burden while allowing registered dietitians and Strengthen cooperation between cooks and childcare workers. In addition to nutritional and allergy management, we support improving the safety, efficiency, and economics of school lunches, as well as improving children’s eating environments and promoting dietary education.

●Shift (planned)

Calculate the number of staff required to be assigned based on the schedule of kindergarteners and children coming to and leaving the nursery school and leaving the school, and the staffing standards. In addition, the number of work and vacation days such as “early shift” and “late shift” for each employee is aggregated, and intuitive operation of shifts is made to ensure fairness in compliance with the Labor Standards Act and to ensure that there is no bias in the number of work days or the content of work. You can create it with Additionally, you can view the hourly placement status of each employee on a daily basis, making it easier to make sudden shift adjustments.

●Communication within the park (planned)

Facilitates knowledge sharing and communication between childcare workers. Sharing information such as handovers, morning meetings, business communications, and other situations that tend to be ambiguous verbally can be easily sent/shared on Kodomon. This makes it easier for all staff members to understand the situation within the park. Since it also supports email distribution, emergency communications can be made quickly even to employees who are not on duty.

● Growth/health records (planned)

Health (nap check/temperature/defecation check) and development will be recorded. Regarding development, each child in the kindergarten is asked how they are growing during daily childcare by selecting from six areas: “Life,” “Play,” “Human relationships,” “Environment,” “Language,” and “Expression.” You can record your child’s age and developmental status in a check format.

●Childcare documentation (planned)

“Documentation” is the process of capturing the moment when a child is absorbed in an activity and recording it with photos and comments, and has been attracting attention in recent years as an effective method for realizing “child-centered childcare.” By using documentation, we can create dialogue among childcare workers, parents, and children, expand the child’s world, and enrich their learning. Kodomon’s documentation function allows you to create “diary, bulletin board, contact book, and weekly plans” all at once by simply recording daily records with photos, eliminating the need to enter the same content over and over again. Since bulletin boards are automatically laid out, there is no need for work such as cutting and pasting photos, and childcare documentation can be practiced with minimal burden on the site. This documentation was jointly developed by Kodomon and Benesse under the supervision of Tamagawa University professor Hirotomo Soyokuta, and has been available since 2020. https://www.codmon.com/service/connect/documentation

●Video distribution service (planned)

You can upload videos taken at the facility from “Notice Mass Distribution” and safely and easily distribute the videos to parents.

●Photo sharing/selling (planned)

From everyday photos taken during daycare to photos taken at events, you can simply upload your data as an album and sell it without having to go through the trouble of posting notices, accepting orders, placing orders, printing, distributing, collecting money, etc.

●Billing management (planned)

You can calculate and claim charges such as extended childcare fees. If you stamp your child’s entry/exit control, the extended childcare fee will be automatically calculated based on the time of stamping.

◇ Utilization of SaaS for DXing business and improving business

The Digital Agency was launched on September 1, 2021 as a ministry to unify and promote the digitalization of government, which has lagged behind other countries until now. There is no exception in this case. The Ministry of Health, Labor and Welfare has been conducting the “Study Committee for Improving the Attractiveness of Childcare Workplaces and Occupations” since February 2020 to consider ways to improve the attractiveness of the “nursery teacher” profession and daycare centers as places to work, and how to communicate this information. However, the report (*1) released on September 30, 2020 also clearly states that the use of ICT is essential. Additionally, on October 20th, the Ministry of Education, Culture, Sports, Science and Technology issued a notice (*2) to review the sealing of guardians at schools and promote the digitalization of communications.

There are various forms of childcare ICT, and cloud services such as SaaS (*3) are being considered for preferential use in a wide range of government information systems, and are said to have the following benefits: .

●Improved efficiency: Since various basic functions are provided in advance, it is possible to shorten implementation time.Furthermore, since resources are shared among many users, the cost burden per user is reduced and implementation is relatively inexpensive.
●Improved ability to respond to technological innovations: New functions are added from time to time, making it easy to utilize and experiment with the latest technology.
●Improved flexibility: It is easy to add and change resources, and it is relatively easy to review operations. This means that existing functions can be improved from time to time based on user feedback.

Furthermore, when choosing among several services, it is important to have a proven track record. This is because the service is easier to use in the field because it has a sufficient track record of operation, active and continuous investment is made to add new functions, etc., and the risk of service termination is considered to be low (*4) . These are important points not only for government information systems, but also when selecting ICT services for childcare and educational facilities. The benefits of SaaS are also mentioned in the Ministry of Economy, Trade and Industry’s SLA Guidelines for SaaS. In addition to SaaS, there are other forms of building and owning systems by customizing packaged products to suit the company’s business and specifications, but these not only take a long time to implement, but also assume that the scale of the target business will expand. Because the network is constructed using a network, there is a tendency to over-invest in line equipment and infrastructure. However, SaaS is said to be easy to implement and can be used even if there is no in-house IT expert (*5).
